Event Planning Guide
Selecting a Select a Date, Time, and Location

Consult the University Calendar and community calendars to determine potential date conflicts.

Research venue locations

If you would like information about off-campus venues, pleast contact us.
Confirming with VIPs

If you would like a member of the University Council (i.e. the President or Provost) to attend your event, please contact their administrative assistant for their availability.

Confirming the presence of external VIPs (guest speakers, etc.) should be done by the department representative.
Coordinate campus resources and vendor needs

Select your caterer.

Find any needed external vendors such as rental companies.

Determine any audio-visual or other rental equipment needs.

Confirm parking and transportation needs. If the event will be held on campus, you can work with the Office of Transportation Services.
Event materials and promoting your event

Invitations and promotional material needs should be discussed with a University Events Management coordinator

To promote your event on the University’s main calendar, your department’s web ambassador will need to post it to https://calendar.louisiana.edu/. You can also request it to be posted on University social media by sending the event to communications@louisiana.edu or Alumni Association social media by sending it to alumni@louisiana.edu.

Submit requests to have your event advertised on digital signage around campus here.

If your event is open to public, consider posting it on the community calendars listed below.
